About the Role
Position Summary
The Junior IT Administrator & Reporting Analyst supports the organization’s day‑to‑day technology operations while assisting leadership and department heads with standardized reporting and data support. This role is responsible for maintaining internal IT systems, supporting a primarily on‑premise infrastructure, onboarding and offboarding employees and clinicians, and ensuring technology processes align with HIPAA and HITECH compliance requirements.
In addition to core IT administration duties, this position runs recurring and ad‑hoc reports from the organization’s EMR and other internal systems to support clinical, operational, administrative, and regulatory needs. This is a junior‑level, hands‑on role ideal for someone who enjoys technology, organization, problem‑solving, and working closely with internal teams and external vendors.
Primary Duties & Responsibilities
IT Systems & Infrastructure
- Manage, maintain, and support the company’s Windows Server environment, including installed software suites, databases, and related infrastructure.
- Configure, support, and maintain internal software systems, including the EMR and other operational platforms.
- Support a primarily on‑premise IT environment while maintaining a working understanding of cloud‑based technologies where limited integrations or external systems require it.
- Deploy, configure, and maintain new hardware and software across the network, including workstations, peripherals, and system updates.
- Troubleshoot and resolve technical issues related to servers, databases, internal applications, connectivity, and remote access for employees and contractors.
HIPAA / HITECH Compliance
- Develop, maintain, and support IT‑related policies and procedures that align with HIPAA and HITECH compliance.
- Implement and support compliance procedures across the organization in coordination with leadership.
- Ensure appropriate access controls, password management, and security practices are followed to protect sensitive information.
Employee & Clinician Onboarding / Offboarding
- Onboard and offboard clinicians, employees, and subcontractors by provisioning, modifying, and disabling system access, including:
- Microsoft 365 (email, permissions, security groups)
- EMR usernames, passwords, and role‑based access
- Telephone systems and extensions
- Other internal applications, devices, and systems as required
- Maintain accurate documentation related to user access and onboarding procedures.
Reporting & Data Support
- Run standardized and recurring reports using MyEvolve’s internal reporting functionality, Excel, and other approved tools.
- Generate and distribute reports for department heads, leadership, the State, and other funding or regulatory entities according to established requirements and timelines.
- Perform basic data validation and quality checks to ensure reports are accurate and complete before distribution.
- Assist with ad‑hoc reporting requests related to operations, audits, compliance, or administrative needs, escalating complex issues as appropriate.
- Maintain documentation for recurring reports, including run instructions, frequency, and recipients.
Vendor & Ticket Management
- Serve as a primary point of contact with outside IT vendors and service providers.
- Submit, manage, and track support tickets with external systems and vendors, including the EMR (MyEvolve).
- Manage and maintain the company’s internal IT ticketing system, ensuring requests are logged, tracked, communicated, and resolved in a timely manner.
Technology Improvement & Training
- Train employees and subcontractors on MyEvolve and other internal technology systems.
- Identify and support practical improvements to IT systems, onboarding processes, reporting workflows, and technology usage to increase efficiency, effectiveness, and compliance.
Secondary Duties
- Assist with maintaining company technology equipment, including copiers, scanners, printers, and telephone systems.
- Monitor reasonable costs related to technology equipment and software to support cost‑effective purchasing decisions.
- Maintain basic documentation related to IT systems, ticketing, reporting processes, and user access procedures.
- Perform other IT‑related duties as assigned, consistent with a junior‑level role.
Required Qualifications
- Associate’s degree or equivalent experience in Information Technology, Computer Science, or a related field.
- Basic experience supporting Windows environments, workstations, and internal software systems.
- Comfort working with data, reports, and spreadsheets (Excel or similar).
- Understanding of or ability to learn HIPAA and HITECH compliance requirements.
- Strong organizational skills and attention to detail.
- Ability to communicate clearly with internal staff, leadership, and external vendors.
- Willingness to learn new systems, reporting tools, and workflows.
Preferred Qualifications
- Experience with EMR systems (especially MyEvolve or similar).
- Exposure to IT ticketing systems and vendor coordination.
- Familiarity with Microsoft 365 administration.
- Basic reporting or data support experience.
Scope of Role
This position focuses on supporting established IT systems, standardized reporting, user access, and vendor coordination. It does not include responsibility for advanced analytics development or enterprise‑level IT architecture.
