Salary Range:  $85,000 - 90,000/annualized

Job Summary

The IT Manager is responsible for overseeing all aspects of the information technology function of the All Stars Project, a national nonprofit. This role is the internal owner of IT: it directs the external managed services partner (MSP) and other technology vendors, and leads the planning and delivery of all IT initiatives. The IT Manager role requires a high level of confidentiality, sound judgment and discretion.  The position will work closely with the Chief Operating Officer to implement strategies, policies and best practices across the All Stars Project.  

This position is hybrid and requires regular in-person attendance in the New York City offices.

Job Responsibilities

IT Operations and Vendor Management — 30%

• Serve as the primary internal IT liaison to the organization, establishing credibility through responsive, high-quality internal service and clear communication, including but not limited to troubleshooting routine issues, escalating complex issues, and ensuring consistent follow-up
• Act as the internal owner of the IT function, orchestrating priorities, vendors, and roadmap while performing selected hands-on technical work. The managed services partner (MSP) performs most execution; this position is the MSP's internal client.
• Manage the MSP relationship end to end, including contracts, service level agreements, performance oversight, escalations, and day-to-day translation between the MSP and staff.
• Monitor ticket trends, review MSP performance, prepare updates for the Chief Operating Officer, and ensure timely resolution of issues.
• Manage the technology budget, including a monthly variance report and a quarterly outlook.
• Respond to the requests of the Chief Operating Officer as needed.

Technology Projects and Implementation — 30%

• Manage the All Stars Project's portfolio of strategic IT projects, from planning through execution.
• Identify and research needed IT projects, and prepare proposals covering cost and resource requirements.
• Apply standard project management practices, tools, and methodologies to deliver project goals, including utilization of test groups, post-deployment check-ins, etc. Lead and drive cross-functional project teams for assigned technology projects.
• Support change management for new technology tools, systems, and protocols by developing clear staff communications, coordinating training or guidance, gathering feedback, and ensuring appropriate follow-up after implementation.
• Conduct user training and provide staff guidance on technology tools, systems, and protocols, including onboarding support for new hires and follow-up training as needed.
• Direct external technology vendors and consultants to successful project completion, serving as the liaison between them and All Stars Project leadership and staff.
• Report regularly on project status, including progress, obstacles, and proposed solutions.

Systems Administration, Security, and Support — 40%

• Manage and communicate protocols for national IT systems, including file storage, network security and infrastructure. Provide support to local operations.
• Manage and monitor IT security practices in partnership with the MSP, including user access controls, onboarding and offboarding technology needs, data security protocols, audit support, and adherence to organizational IT policies.
• Work with IT consultants to keep the knowledge base current and ensure help desk tickets are resolved within agreed service levels.
• Create, maintain, and update IT documentation, procedures, user guides, and staff resources to support consistent technology practices and timely issue resolution.
• Maintain the organization's hardware and software inventory, and ensure software and operating systems are current and fully patched.
• Create and review quarterly audit reports for all IT platforms.

Qualifications

• Five or more years of progressive and relevant IT management experience required
• Ability to communicate clearly with staff, vendors, and partners at all levels and to represent the organization to external parties
• Working knowledge of IT systems, hardware, software, cloud-based platforms, cybersecurity practices, and basic troubleshooting.
• Experience managing ERP implementation or similar scale projects required
• Experience supporting technology needs across multiple locations preferred.
• Capacity to handle ambiguity and work in a fast-paced entrepreneurial environment
• Efficient trouble-shooting abilities and ability to identify, escalate, and follow through on technology issues
• Ability to create and maintain clear documentation, procedures, and technology-related resources for staff.
• Strong intellectual curiosity
• Ability to work in a collaborative environment
• Understanding of poverty-related issues and a commitment to creating educational and developmental opportunities for inner-city youth in outside of school contexts
• Ability to lift, move, and set up technology equipment and related materials, up to 25 pounds, and use a step stool or ladder as needed.
• Ability to work occasional evenings or weekends to support technology projects, system updates, staff training, or urgent operational needs.
• Bachelor’s degree preferred
