Position Summary
The Hoffman Institute Foundation is seeking an experienced, service-oriented IT Manager to oversee our day-to-day technology operations. This hands-on leadership role ensures that employees, faculty, and organizational leaders have reliable, secure access to the systems, equipment, connectivity, and technical support they need.
The IT Manager will oversee IT infrastructure, cybersecurity, technical support, technology vendors, procurement, licensing, and asset management. This position supervises the Systems Manager, provides operational oversight of the FileMaker environment and Software Developer, and collaborates with leadership on technology improvements and digital-transformation priorities.
This role supports Hoffman’s California locations and remote users. Travel between locations and occasional evening or weekend availability for urgent issues are required.
Key Responsibilities
- Manage networks, Wi-Fi, computers, phones, printers, remote-access tools, and other technology infrastructure.
- Administer organizational platforms, including Microsoft 365, Okta, Box, Zoom, Appointy, and Splashtop.
- Manage technical support, ticket priorities, escalation procedures, and service expectations.
- Oversee cybersecurity controls, user access, multi-factor authentication, email security, backups, disaster recovery, and security-response activities.
- Manage employee technology onboarding and offboarding, including accounts, permissions, equipment, and licenses.
- Provide or coordinate technology orientation, cybersecurity awareness, and software training.
- Supervise the Systems Manager and oversee FileMaker administration and software-development priorities.
- Manage relationships with technology vendors, consultants, and managed service providers.
- Oversee technology purchasing, licensing, inventory, deployment, replacement, and secure equipment disposal.
- Maintain accurate system, asset, vendor, and process documentation.
- Identify opportunities to improve workflows through integrations, automation, and existing platform features.
- Support technology needs related to retreats, events, office moves, outages, and special projects.
- Travel between Hoffman locations to provide technical support, training, installation, and troubleshooting.
Required Qualifications
- Bachelor’s degree in a technology-related field or an equivalent combination of education and relevant experience.
- Five to seven years of progressively responsible IT operations, systems administration, technical support, or technology-management experience.
- Two to four years of supervisory or team-lead experience.
- Experience administering cloud-based systems and identity and access-management platforms.
- Experience managing external IT vendors or managed service providers.
- Strong knowledge of Microsoft 365, Okta, Box, networks, Wi-Fi, cybersecurity, endpoint management, and data protection.
- Experience configuring and troubleshooting macOS and Windows computers. Hoffman is primarily a Mac-based organization.
- Strong troubleshooting, project-management, organizational, and documentation skills.
- Excellent communication skills and the ability to support nontechnical users.
- Ability to manage confidential information, competing priorities, and urgent technical issues.
- Ability to travel between locations and occasionally respond outside regular business hours.
