JOB OVERVIEW
The Associate – Systems Administration serves as a liaison between business units and the technology department at Equity Trust Company (ETC) and other integrated vendors. Develops and maintains knowledge of the core business processes and supports applications and creates solutions for system enhancements and support the business’ needs. Creates detailed technical specification documents to support new and updated process changes. This role is proficient in defining, creating, prioritizing, and managing the overall list of current and future project needs as they pertain to system improvements and enhancements. Additionally, this role includes responsibilities related to system administration, including provisioning, deprovisioning, and overall user access management for several applications utilized by ETCB.

RESPONSIBILITIES & DUTIES

  • Manage provisioning, deprovisioning, and overall user access management for several applications used by ETCB to ensure security and operational integrity.

  • Maintain and support effective relationships with business partners to support a productive working relationship between groups.

  • Review, analyze, and document business systems to support technology and business needs.

  • Collaborate with the team to help translate business requirements into suitable technological solutions; initiate efforts towards creating suitable technological solutions to meet business needs.

  • Provide business process and business use case support to help match business needs with technology solutions.

  • Support the technology team by working with business partners to make process improvement suggestions such.

  • Support and facilitate Compliances activities, such as quarterly user access reviews.

  • Initiate discussions with business units, the technology team, and/or vendors to help remove roadblocks.

  • Create and maintain documentation including business process, system procedure, detailed business requirements/expectations, and functional design documentation, as well as functional specifications used to guide the software changes and test script artifacts used for validation; paying special attention to the impact, scope, root cause, and preventive measures as well as short- and long-term solutions to ensure learning and continuous improvements are at the core of the support model.

  • Manage project plans and tasks assigned within scope, quality, and timeframe allocated.

  • Track and document all requirement changes for use in definition of the final deliverable(s) and management of changes.

  • Ensure issues are documented, communicated, assessed and escalated on timely basis.

  • Document major business scenarios and maps requirements to test scenarios.

  • Support test script development; facilitates and supports User Acceptance Testing with business partners and development team.

  • Assist with the development, QA, and stage level of testing for any technological changes to ensure existing functionality is being adequately protected while a suitable solution is delivered.

  • Analyze results achieved versus results expected.

  • Configure system settings and options to ensure business requirements are satisfied.

  • Assist with identification and documentation of risks, issues, dependencies, and assumptions in accordance with project standards.

  • Collaborate with manager on escalation items; may monitor and report the progress of the same to the management team.

  • Management of the enhancement requests and FreshService tickets.

  • Assist the front office with report writing, vendor testing, advanced spreadsheet operations and all trade related matters.

  • Travel to various locations, both within our organization and externally, may be required depending on your role and responsibilities.

  • Follows assigned work schedule with regular and predictable attendance.

  • Performs other duties as assigned.

QUALIFICATIONS

  • Bachelor’s Degree in Information Technology, Finance or related field required; relevant work experience in lieu of degree may be considered

  • Minimum two (3) year of experience with advisor services industry and technologies

  • Minimum two (3) year of experience with brokerage trading systems

  • Experience with internal and external system integrations

  • Banking and financial services experience

  • Agile Scrum experience preferred

PROFESSIONAL CERTIFICATIONS

  • SIE Certification

  • Series 99

  • Series 7 preferred

  • If you do not already have a Securities license relevant to your role at Innovayte, you may be required to take and pass the Securities Industries Essentials exam provided by FINRA.  In addition, based on your role responsibilities, you may also be required to pass additional Securities Industry exams to allow you to operate in your role and be compliant with FINRA and the SEC requirements. These licenses, when required, need to be obtained within certain specific time frames, typically 120 calendar days. 

TECHNICAL SKILLS

To be successful in this role, you should have experience with and an understanding of the following:

  • Portfolio Management System experience and knowledge required.

  • Intermediate/level proficiency in web-based applications.

  • Proficiency in utilizing various systems to track transactions, client account information, communication, and manage daily business activities.

  • Expert level proficiency in Microsoft Office.

This job operates in a professional office environment, which may include a corporate office setting or a remote/home office environment, and routinely uses standard office equipment and technology such as computers, phones, printers, and video conferencing tools. While performing the duties of this job, the associate is regularly required to communicate effectively, including speaking, hearing, and participating in virtual meetings on camera. The associate is frequently required to sit for extended periods of time, as well as occasionally stand, walk, use hands and fingers, and reach with hands and arms. This job may require the ability to lift files or office materials, open filing cabinets, and bend or stand on a stool as necessary. Remote associates are expected to maintain a safe, secure, and productive work environment with reliable internet access.
